Getting Started

How do I submit an RFP?

Search for your destination city on the homepage, pick your dates, tell us how many rooms you need, and submit — it's free and takes under 60 seconds. Hotels respond with competing group rates, usually within 24–72 hours.

Is there a minimum number of rooms?

Most hotels offer group rates for 10+ rooms per night, but some properties may offer discounts for as few as 5 rooms depending on the season.

How much does it cost?

Submitting an RFP is free. groupRooms does not charge travelers — hotels pay a commission when you book.

During Your RFP

How long until I hear back?

Hotels typically respond within 24–72 hours. Many respond within the same day. You'll see all responses in your dashboard.

Can I modify my RFP after submitting?

Yes — you can adjust dates, room counts, or special requirements from your dashboard. Changes are sent to hotels that have already responded.

What if I don't get enough responses?

We guarantee a minimum of 5 hotel responses within 7 days. If you receive fewer, you can resubmit at no cost or contact our support team.

After Booking

Who do I pay?

You pay the hotel directly. groupRooms never charges you or marks up your rate.

What if I need to cancel?

Cancellation policies are set by each hotel. Review the terms before confirming your booking. You can manage cancellations through your dashboard.
